๐ Getting Started
- Open your church's address:
yourchurch.flockams.com (it's in your welcome email).
- Sign in with the username and password you were given.
- First sign-in? Change your password right away: Settings โ Change Password.
- Add your email under Settings โ My Account so you can reset your password if you ever forget it.
๐ก Forgot your password? Click Forgot password? on the login page โ a reset link is sent to the email saved on your account.
๐ฅ User Roles
What each person can do depends on their role:
- Super Admin โ full control: everything below, plus managing users, changing roles, church name, logos, and billing.
- Admin โ everything day-to-day: members, attendance, services, imports, logos, plus creating editor/teacher accounts.
- Editor โ records attendance, manages members, visitors, notes, and fingerprint enrolment.
- Children Teacher โ children's register: adding children and marking children's attendance.
๐ Dashboard
Your home screen after signing in. It shows live statistics โ total members, today's attendance, recent baptisms โ and big buttons that take you to each part of the app. Click the church logo in the top bar at any time to come back here.
๐งโ๐คโ๐ง Members
Adding a member
- Go to Members โ Add Member.
- Fill in their details โ name, title, gender, contact info, date of birth, baptism status. Each member automatically gets a registration number.
- Save. You can open their profile any time to edit details or upload a photo.
Importing many members at once
- Go to Members โ Import and download the Excel template.
- Fill one member per row, keeping the column headings unchanged.
- Upload the file โ members are created in bulk.
Member profile
Click any member to open their profile: personal details, photo, attendance history, fingerprint enrolment, and edit options.
โช Services
Services are the gatherings you take attendance for โ e.g. Sunday Worship, Midweek Bible Study.
- Create them under Services: give each a name and the day of the week it holds (or a specific date for one-off events).
- Attendance is always recorded against a service + date, so set these up before your first attendance session.

Marking attendance
- Go to Attendance, choose the service and date.
- Search for a member by name or registration number and mark them present โ or select several members and mark them together.
Absentees
The Absentees view lists everyone who missed a given service โ useful for follow-up calls. You can also see members with several consecutive absences so no one slips through unnoticed.

๐ Fingerprint Check-In
With a ZKTeco fingerprint scanner attached to your church computer, members check in by touching the scanner โ no typing.
One-time setup
Follow the Fingerprint Scanner Setup guide โ install the scanner driver and the FlockAMS Scanner Agent once, and it runs automatically from then on.
Enrolling members
- Open the member's profile and find the Fingerprint section.
- Click enrol; the member places the same finger on the scanner 3 times.
Taking attendance
- Open Attendance โ Fingerprint mode, choose the service.
- Members touch the scanner as they arrive โ each match is marked present instantly.
๐ง Children's Ministry
- Register children under Children with their parent/guardian details.
- Mark children's attendance separately from adults โ same flow: pick service, date, mark present (individually or several at once).
- The children's absentee view helps teachers follow up with families.
๐ Visitors
- Record first-time and returning visitors under Visitors, including who invited them and follow-up notes.
- Each visit is logged against a service and date, so you can see who visited when.
- Use the visitor profile to track follow-up until they become members.
๐ต Ministries
Group members into departments โ choir, ushering, media, prayer team. Create a ministry under Ministries, then add members to it from the ministry page. Great for knowing at a glance who serves where.
๐ Notes & Reminders
A shared noticeboard for your team โ meeting minutes, reminders, to-dos. Create, edit, and delete notes under Notes. Notes are visible to your church's staff users only.
๐ Reports & Export
- Dashboard statistics update live as you record attendance.
- Member attendance history is on each member's profile.
- Export your member list to Excel from Members โ Import/Export.
๐ Managing Users Super Admin
- Go to Settings โ User Management to add staff accounts (Admin, Editor, or Children Teacher).
- If you enter an email when creating a user, they automatically receive their login details by email.
- Change a user's role any time using the dropdown in the user list.
- Every user can change their own password under Settings โ Change Password.
โ ๏ธ Give each worker their own account instead of sharing one login โ you'll know who recorded what, and you can remove access individually.
โ๏ธ Settings & Branding Admin+
- Church icon: upload a square icon โ it appears on your login page and in the top bar. It uploads as soon as you choose the file. JPG or PNG, max 2 MB; square images fit best.
- Church name: update the name shown across your dashboard.
- My Account: every user can save their email here (used for password resets).
๐ณ Billing Super Admin
- Every church starts with a 30-day free trial โ no card needed.
- Under Billing, choose monthly (โฆ5,000/month) or yearly (โฆ50,000/year โ two months free) and pay securely through Paystack.
- If a subscription lapses, your data is safe โ the dashboard becomes read-only until payment, then everything continues as before.

- Open Support in your dashboard and create a ticket describing the issue.
- The FlockAMS team replies inside the same ticket โ you'll see an unread badge when there's an answer.
